The Opportunity

We are looking for Volunteers Review Committee Members for our Supporting Black Canadian Communities Initiative (SBCCI) to review and rank Reporting to the Supervisor of Facility and Maintenance, The Assistant Facilities Coordinator/Driver will provide support to building maintenance and operations as well as the Harvest & Ricochet team. The incumbent is responsible for identifying, scheduling, and coordinating projects pertaining to building operations for our Daycare Facilities, Employment/Staffing Services Centre and the Head Office to ensure expected service levels are achieved. In addition, as a driver, the incumbent is responsible for picking up, receiving, sorting, and delivering food donations/meals to clients in the community.

Facilities and Maintenance

Head Office – 1385 Huntingwood Drive, Scarborough, ON, M1S 3J1


  • Ability to work indoors and outdoors
  • Hot during summer and cold during winter when working outdoors
  • Work in a closed vehicle on a daily basis
  • Must be able to wear Personal Protective Equipment (PPE) on site due to Covid-19
  • Travel is a must for this position

Additional Requirements:
Frequent movement and medium physical exertion: lifting up to 40 lbs, standing, bending and repetitive lifting and bending

Regular Hours:
7 hours in a 7am to 5pm timeframe, Mon – Fri

Extended Hours:
Ability to work after hours as required; dependent on program needs 

Areas of Responsibilities

Facilities & Maintenance

  • Assist with the general office inquiries including, but not limited to key and locker requests, furniture and equipment issues, and access cards and ensure all service requests are dealt with in a timely manner
  • Assist with internal office moves/reshuffles, renovations, and any other office services as required
  • Assist with maintenance of overall office infrastructure, schedule and coordinate repairs and maintenance, minor works, and other work requests
  • Inspect grounds, facilities, rooms, and infrastructure support systems (e.g., fire alarms and air-conditioners) and ensure they are kept in good condition; determine needs of repairs and maintenance based on their performance.
  • Prepare and respond to emergencies; assist with the creation of building evacuation and other action plans and report all maintenance issues to the Facility Maintenance Supervisor
  • Remove hazardous materials from all areas accessible to employees and visitors
  • Monitor activities that happen outside the building, such as proper waste disposal and recycling
  • Document and log all facility and maintenance activities and expenses
  • Perform light duty cleaning, project cleaning, general cleaning of the building as required
  • Assist with in-house special events and functions; help with the preparation and rearrangement of meeting rooms, furniture and equipment
  • Assist with early morning meetings, late functions and occasional weekend events
  • Ensure compliance with health and safety regulations are followed

Driver – Harvest Share

  • Pick up weekly donations at various sites with the company vehicle
  • Work with Harvest Share staff to sort, pack, load/unload, and deliver food hampers
  • Assist in organizing meals, weekly donations, and food storage in the freezer
  • Review delivery route and map to plan trip prior to leaving the office
  • Adhere to the daily delivery schedule
  • Advise on improving sequence of client deliveries in the assigned route; provide suggestions to office staff for revision of route sheet as needed
  • Maintain, clean, and disinfected the delivery vehicle
  • Perform regular inspections of the company van and determine when maintenance is needed
  • Document and keep track of all the deliveries
  • Conform to all transportation laws and maintain a safe driving record
  • Represent the organization and be a friendly face to our clients when delivering food donations

Skills and Qualifications:ities


  • University Degree, College Diploma or a combination of education and experience in Business Administration, Facilities Management, or related field

Work Experience

  • Minimum 3 years of experience in facilities management and building maintenance with some focus on project coordination
  • Minimum 2 years of experience driving a van
  • Experience working with vendors/suppliers and office moves
  • Experience working in a non-profit organization is an asset

Licenses & Certifications

  • Possess a “G” Class License and clean driving abstract 
  • Clear Vulnerable Sector Screening Check issued within one year of hire date

Language & Communication Skills

  • Ability to communicate effectively in English, both oral and written

Transferable Skills

  • Strong knowledge of facilities management operations
  • Familiarity with office equipment, tools, and security systems
  • Knowledge of health and safety best practices
  • Commitment to working in a socially inclusive environment; ability to respond with sensitivity and personal awareness to the diverse needs of members in terms of visible and non-visible dimensions of diversity
